Privacy Policy
Your privacy and community safety are fundamental to Katrix. This policy details what data is collected, how it is used, and how you retain control over it.
1. Our Privacy Philosophy
Katrix operates on a principle of data minimization: we only collect and store data that is strictly required to deliver Discord bot functionalities (e.g. moderation records, ticket transcripts, level progression, and guild configurations).
We never sell, rent, monetize, or trade your personal information or community data with third-party advertisers, data brokers, or marketing networks.
2. Information We Collect
When Katrix operates in your server or when you sign into the web dashboard, the following categories of data may be processed:
Discord Server Data
Server Snowflake ID, guild name, icon hash, configured channel IDs (welcome, logs, tickets), and role IDs (autorole, moderation permissions).
User Profiles & Identifiers
Discord Snowflake ID, username, discriminator, global display name, and avatar hash when participating in leveling, giveaways, tickets, or executing commands.
Moderation & Case Logs
Sequential case IDs, infraction types (ban, kick, timeout, warn), reason provided, moderator ID, target user ID, and timestamp.
Web Dashboard OAuth
Discord OAuth2 access tokens used exclusively in-session to verify server administrator permissions via Discord's REST API.
3. What We DO NOT Collect
We believe in total transparency regarding Discord messages:
- We do NOT log or store user chat messages. Messages sent in your server are processed in-memory solely for prefix command matching, XP progression calculation, or auto-responder triggers, after which they are instantly discarded.
- We do NOT listen to or record voice channel audio. Temporary voice channels only manage channel creation, user limits, and permission states.
- We do NOT store financial information or payment credentials.
4. How Your Data is Used
Data collected by Katrix is strictly used to:
- Execute requested Discord commands and post configured audit dispatches.
- Render personalized Canvas cards (welcome greetings, rank cards, quote cards).
- Authenticate server administrators and load their manageable servers on the dashboard.
- Maintain historical moderation integrity and automated punishment escalations.
- Deliver scheduled stream alerts from YouTube and Twitch.
5. Cookies & Local Session Storage
The Katrixerse web portal uses strictly necessary HTTP-only session cookies provided by NextAuth.js to maintain your authenticated login state. We do not use third-party analytics cookies, advertising beacons, or tracking pixels.
6. Data Retention & Deletion Requests
Retention: Configuration data and moderation case histories are maintained while the bot remains active in your Discord guild to ensure continuity.
Deletion Requests: Server owners may request complete deletion of their server records, moderation logs, and leveling statistics at any time. Furthermore, removing the bot from your server immediately ceases all data collection for that guild.
To request data deletion, contact the developer through our Meet the Team page or via our Discord support channels.
7. Security & Protection Measures
All data is stored in isolated, hardened database clusters protected by strict firewall rules, network segmentation, connection rate-limiting, and sanitized queries with rigorous input validation. Sensitive API tokens and bot credentials are encrypted at rest using environment isolation.
